Message Bot – Whatsbot Module

Overview

The Message Bot feature in the Whatsbot module enables users to create automated responses for WhatsApp interactions. This tool allows businesses to respond instantly to customer messages, manage inquiries efficiently, and improve communication workflows using rule-based or AI-driven automation.

With customizable triggers, message types, and flexible response options, the Message Bot ensures that every incoming message receives a timely and relevant reply — whether it’s a greeting, keyword-based response, or AI-powered assistance.


Accessing the Message Bot

1. From the Dashboard, navigate to the sidebar menu.

2. Click Whatsbot → Message Bot.

3. You will be directed to the Message Bot Management page, where you can create, edit, or manage your automated bots.


Creating a New Message Bot

To create a new Message Bot, click “Create Bot” or “Add New Message Bot”.
A configuration form will appear, allowing you to set up the bot’s details and behavior.


Fill in the Basic Information

1. Bot Name

Enter a unique and descriptive name for your bot.
This helps identify its purpose — for example:

– Welcome Bot

– Customer Support Bot

– Product Info Bot

– AI Assistant Bot

Use clear names that describe the bot’s role or trigger context.


2. Relation Type

Select the relation type that determines who the bot interacts with:

Leads – for potential or new customers.

Contacts – for existing clients or known users.

This classification allows you to tailor responses according to the target audience.


Configure Message Content

3. Reply Text

Enter the automated message your bot will send.

– Maximum 1024 characters are allowed.

– You can include short greetings, product information, or reply instructions.

Keep messages concise, friendly, and informative.


4. Reply Type

Select how and when the bot will respond. There are four types of reply triggers:

Reply Type Description
Reply bot: On exact match Responds only when the user message exactly matches the trigger keyword.
Reply bot: When message contains Responds when the message includes the trigger keyword, even if not exact.
Welcome reply Sends a message when a lead or client sends their first-ever message.
Default reply Sends a fallback response when no keyword matches are found.
💬 Example:

– If the keyword is “price”, and the user types “What’s the price?”, the bot will respond when “message contains” is selected.

– For “exact match”, the user must send only “price” to trigger the reply.


5. Trigger Keyword

Enter the keyword(s) that will activate the bot.

– Can be a word or short phrase, such as “hello”, “order”, or “support”.

– Avoid using common words that may accidentally trigger unintended responses.


6. Header

Add an optional header for your bot message.
This appears at the top of the reply message, typically used for:

– Titles

– Greetings

– Message categories


7. Footer

Add an optional footer that appears below your reply text.
You can include contact info, disclaimers, or follow-up notes.


Choose Option Type

The Choose Option setting determines the type of bot interaction you want to create.
You can select one of the following options:

Option Description
Option 1: Personal AI Assistant Enables an AI-powered assistant that intelligently generates responses, translations, or document-based answers.
Option 2: Button Reply Adds clickable buttons in your WhatsApp message for quick responses. Ideal for menus or choices (e.g., “Yes”, “No”, “Learn More”).
Option 3: Call-to-Action URL Includes a clickable link that redirects users to a specific webpage, such as a product page or registration form.
Option 4: Bot with File Sends an attachment (e.g., PDF, image, or brochure) along with your bot reply. Useful for product catalogs or guides.
Option 5: List/Options Creates a list-style message allowing users to select from multiple predefined options. Great for structured navigation or surveys.

Step 4: Option 1 – AI Personal Assistant

If you select Option 1: Personal AI Assistant, you are enabling a smart, automated AI assistant.

AI Personal Assistant Features:

– Automatically interprets user messages and generates relevant replies.

– Supports message generation, translation, and knowledge base responses.

– Can be used to answer FAQs, assist customers, or provide instant help 24/7.

– Integrates with the AI Agent settings in the Whatsbot configuration.

Tip

Ensure that AI features are enabled in the Whatsbot Settings → AI Agent section before activating this option.


Saving the Message Bot

After filling in all the fields:

1. Review your configuration carefully.

2. Click Save or Create Bot.

3. The bot will be added to the Message Bot List.

You can view, edit, or delete the bot anytime.
