Warehouse Management

A Warehouse is a physical or logical location where goods are stored, received, delivered, or transferred. Proper warehouse configuration is essential for accurate inventory tracking, order fulfillment, and stock movement management.

This section explains how to add, edit, delete, and view warehouse details in the system.


1. Add New Warehouse

Steps to Add a Warehouse:

1. Navigate to Warehouse Module

Go to Warehouse under the Inventory module from the left sidebar.

2. Add a Warehouse

Click the Add a warehouse button at the top.

3. Fill in Warehouse Details:

Field Description
Warehouse Code Unique identifier for the warehouse.
Warehouse Name Name used throughout the system.
Order Determines display order in dropdown lists (e.g., alphabetical or priority).
Assign to Staffs Admin assigns specific employees to manage the warehouse. Assigned staff can create inventory receiving vouchers, inventory delivery vouchers, internal delivery notes, and loss & adjustment records.
Address Information Enter warehouse address, city, province, postal code, and country.
Note Add any relevant internal notes.
Display Option Checked → warehouse appears in all selection lists. Unchecked → warehouse is hidden.
Hide When Out of Stock Checked → warehouse will not appear on the Items Management page when out of stock.
Custom Fields Tab Always empty in Add form. Custom fields can be configured later in Edit mode.
Save Warehouse Click Save to complete the creation of the warehouse.

2. Edit Warehouse

Steps to Edit a Warehouse:

1. Navigate to Warehouse Module

Go to Warehouse under the Inventory module.

2. Select the Warehouse

Hover over the warehouse you wish to edit and click Edit.

3. Modify Details

Update general information such as address, name, or display options.

4. Custom Fields

Navigate to the Custom Fields tab to configure custom field values assigned to the warehouse.

5. Save Changes

Click Save to update.


3. Delete Warehouse

If a warehouse is no longer in use or operational, it can be deleted.

Steps to Delete a Warehouse:

1. Navigate to Warehouse Module

Go to Warehouse under the Inventory module.

2. Select the Warehouse

Hover over the warehouse to be deleted and click Delete.

3. Confirm Deletion

In the pop-up confirmation dialog, review the selection and click Confirm.

Result: The warehouse is removed from the system. All associated transaction histories remain in the audit trail for reference.


4. View Warehouse Details

To check information about a warehouse:

1. Go to Warehouse under the Inventory module.

2. Hover over the warehouse name and click View.

3. Review details such as:

– General warehouse information

– Assigned staff

– Display status and settings

– Custom fields (if any)

– Current stock levels and minimum inventory settings.

Status Column:

Displays “Unsafe Inventory” when the current stock is below the minimum threshold configured in settings.


5. Additional Information

– Warehouses can be used for receiving, delivery, and internal transfers.

– You can assign multiple warehouses across different locations.

– Staff permissions determine access to each warehouse.

– Custom fields help tailor warehouse attributes to organizational needs.
